Meetings

Recording a meeting or a call on a bid, the transcript that is kept with it, and the audio that is deleted.

Where recording meetings is switched on for your space, a bid has a Meetings page: record a conversation about the bid, and a transcript is kept with the bid's working files. The audio is deleted as soon as the transcript is saved.

What it is

  • Recording meetings is a choice made at sign-up and shown under Account, Your set-up. Where it is off, the bid has no Meetings page; ask your Biddable contact to switch it on.
  • A recording is the microphone, or on a desktop browser a call running in another tab together with the microphone. On a phone, the app records the microphone; put a call on speaker.
  • The transcript is written into the bid's working files, named with the date, time and the meeting's title, where the bid's agent can read it.

How to use it

  1. Open the bid's Meetings page and give the meeting a title, for example "Clarification call with the client".
  2. Press Record a meeting for the room you are in, or Record a call in another tab on a desktop browser and choose the tab with the call, ticking the option to share its audio.
  3. Confirm that everyone has agreed to be recorded. Tell everyone taking part that you are recording and that a transcript will be kept with the bid; the recording does not start until you confirm, and the transcript records who confirmed.
  4. Keep the page open while you record. Press Stop and transcribe when you are done.
  5. The recording is transcribed in turn with any others waiting. The transcript appears on the Meetings page and in the bid's working files; the audio is deleted.

Good to know

  • The recording is sent in short pieces as it goes, so a closed tab or a lost connection loses seconds, not the meeting. A recording with no new piece for three minutes shows as interrupted: Transcribe it as it stands, or Discard it.
  • A transcription that fails keeps its audio so you can Try again. A discarded recording's audio is deleted and no transcript is made.
  • Recordings are transcribed one at a time on the server; a long call takes a few minutes.
  • On a phone the screen stays awake while recording; a locked phone stops the microphone.
  • The browser or device asks once for permission to use the microphone or the call's audio. If it was refused, allow it in the browser's or device's settings and try again.
  • The Meetings page is shown only where recording is on for the space. A space set up before the choice existed keeps the page.

Common questions

Where does the transcript go?

Into the bid's working files, under Meetings, as a dated text file. The bid's agent can read it when you refer to the meeting in the Build chat.

Is the audio kept anywhere?

No. The audio is deleted as soon as the transcript is saved. It is kept only while a transcription is waiting or has failed and can be tried again.

Can I record a video call?

On a desktop browser, yes: record the tab the call is in, with its audio shared. The transcript is of the audio only.

Who is told that we are recording?

You are. The app asks you to confirm that everyone taking part has agreed, and will not start until you do.

Record a meeting

Record a conversation about a bid from the microphone; a transcript is kept with the bid and the audio is deleted.

Who can use it
Owners and writers, where recording meetings is on for the space. Reviewers can read the transcripts.
Where it is
A bid's Meetings page: the meeting's title, Record a meeting, Stop and transcribe
In
The web app, and the phone, tablet and desktop app

What it does

Record a meeting records the room through your microphone: a meeting with the client, a bid review, a call on speaker. When you stop, the recording is transcribed on the server, the transcript is saved with the bid's working files where the bid's agent can read it, and the audio is deleted.

Step by step

  1. Open the bid and go to its Meetings page.
  2. Type what the meeting is in the box, for example "Clarification call with the client". Left empty, it is called "Meeting".
  3. Press Record a meeting.
  4. Tell everyone taking part that you are recording and that a transcript will be kept with the bid. When they have all agreed, confirm.
  5. The first time, allow the browser or the device to use the microphone.
  6. Keep the page open while you record.
  7. Press Stop and transcribe when the meeting ends.

What you see

  • The question "Has everyone agreed to be recorded?" with "Tell everyone taking part that you are recording and that a transcript will be kept with this bid. Only start once they have all agreed." Nothing records until you confirm.
  • While recording, a red strip: "Recording the meeting" with the time running, Stop and transcribe, and a reminder to keep the page (or the app) open.
  • If the connection drops: "The connection dropped. The recording carries on and the missing part is being sent again."
  • After you stop: "Saving…", then the recording in the list as "Waiting to be transcribed", "Transcribing" and finally "Transcript ready" with Open (see Transcripts).

Good to know

  • The recording is sent in pieces every 15 seconds, so a closed page or a lost connection loses seconds, not the meeting.
  • One recording can run to about four hours.
  • In a browser, leaving the page while recording asks you first. The screen is kept awake while recording; on a phone, a locked screen may stop the microphone.
  • On a phone or tablet, put a call on speaker near the device. On a desktop browser you can record a call in another tab instead (see Record a call in another tab).
  • If the microphone was refused: "The browser was not allowed to use the microphone or the call. Allow it and try again." Allow it in the browser's or the device's settings.
  • The transcript records who confirmed that everyone agreed.
  • Recording meetings is a choice made at sign-up. Where it is off, the bid has no Meetings page; ask your Biddable contact to switch it on. An owner sees it under Account, Your set-up.
  • Recording and transcribing never count as a bid.

Common questions

Is the audio kept anywhere?

No. It is deleted as soon as the transcript is saved. It is kept only while it waits to be transcribed, or after a transcription fails so it can be tried again.

The page says recording is not set up on this server yet.

The transcription is not installed where your space runs. Ask your Biddable contact.

Record a call in another tab

Record a video or phone call running in another browser tab, together with your own microphone, and keep its transcript with the bid.

Who can use it
Owners and writers, where recording meetings is on for the space, in a desktop browser.
Where it is
A bid's Meetings page in a desktop browser: Record a call in another tab
In
The web app only

What it does

On a desktop browser, Record a call in another tab records the sound of a call you are on in another tab (a video call in the browser, for example) mixed with your own microphone, so both sides are in the transcript. Only the sound is kept, and only until it is transcribed.

Step by step

  1. Join the call in another tab of the same browser.
  2. On the bid's Meetings page, type what the call is, for example "Clarification call with the client".
  3. Press Record a call in another tab.
  4. Tell everyone on the call that you are recording and that a transcript will be kept with the bid. When they have all agreed, confirm.
  5. Allow the microphone if the browser asks.
  6. The browser asks what to share: choose the tab the call is in and tick Share tab audio (or Share system audio), then share.
  7. Press Stop and transcribe when the call ends.

What you see

  • Under the buttons: "For a call, choose the tab the call is in and tick "Share tab audio". Your own microphone is recorded too."
  • While recording, a red strip: "Recording the call" with the time running and Stop and transcribe.
  • If no sound was shared: "No call audio was shared. Choose the tab with the call and tick "Share tab audio" (or "Share system audio")."
  • Then the recording in the list, as for a meeting (see Transcripts).

Good to know

  • The button shows only in a browser that can share a tab's sound, which in practice means a desktop browser. On a phone or tablet, record the meeting and put the call on speaker.
  • Pressing the browser's own Stop sharing ends the recording too, and it goes for transcription.
  • The picture is never recorded, only the sound.
  • The transcript says it was recorded from a call and the microphone.

Common questions

Can I record a video call?

Yes, its sound: run the call in a browser tab and share that tab's audio. The transcript is of the conversation only.

Transcripts, interrupted recordings and Try again

Open a meeting's transcript, rescue a recording that was cut off, try a failed transcription again, or discard a recording.

Who can use it
Everyone in the space reads transcripts. Owners and writers use Transcribe it, Try again and Discard.
Where it is
A bid's Meetings page: the recordings list: Open, Transcribe it, Try again, Discard
In
The web app, and the phone, tablet and desktop app

What it does

Every recording on a bid is listed on its Meetings page with where it stands. A finished one opens as its transcript. A recording that was cut off can still be transcribed as far as it got, a failed transcription can be tried again, and either can be discarded.

Step by step

  1. Open the bid's Meetings page.
  2. Press Open beside a recording marked "Transcript ready" to read it.
  3. For a recording marked "Recording stopped unexpectedly", press Transcribe it to transcribe what was saved, or Discard.
  4. For one marked "Could not be transcribed", press Try again, or Discard.
  5. Discard asks first; confirm to delete the audio.

What you see

  • Each recording: its title, its status, its length once known, and how long ago it was made.
  • The statuses: "Recording", "Waiting to be transcribed", "Transcribing", "Transcript ready", "Could not be transcribed" (with "The recording could not be transcribed. Try again, or discard it.") and "Recording stopped unexpectedly".
  • Discard asks "Discard this recording?" with "The audio is deleted and no transcript is made."
  • The transcript: the meeting's title; when it was recorded, from what, and how long it is; "Everyone taking part agreed to be recorded (confirmed by" the person ")."; a note that it is a machine transcript, so names, figures and dates should be checked against your own notes; then the conversation in paragraphs, each with its time from the start.

Good to know

  • A recording with no new piece for three minutes counts as stopped unexpectedly, for example when the page was closed or the connection was lost.
  • Recordings are transcribed one at a time on the server, in turn with any others waiting; a long one takes a few minutes. The page checks every ten seconds while one is waiting or being transcribed.
  • A recording being transcribed cannot be discarded: "This recording is being transcribed; wait for it to finish."
  • The transcript is saved in the bid's working files, under Meetings, named with the date, the time and the title. The bid's agent reads it when you refer to the meeting in the Build chat.
  • A transcript is a working file: it never goes into the submission pack.

Common questions

Where does the transcript go?

Into the bid's working files, under Meetings. Open it from the Meetings page, or ask the agent about the meeting in the Build chat.
